The Challenge

Volt Lites is a premier lighting and production company servicing high-stakes film, television, and live event projects. While their business was growing, internal systems weren’t keeping pace.

They faced a familiar set of operational hurdles:

Sales and operations worked in disconnected systems, leading to rework and unclear handoffs.

RentalWorks housed all operational data, but it was siloed from client and sales activity.

Key project milestones weren’t being tracked consistently or tied back to original deals.

The Strategy

We conducted structured discovery sessions across sales, production, and shop teams to map out their true project lifecycle—from quote to delivery—and identified the systems and touchpoints that mattered at each stage.

Custom Salesforce Build

We designed a tailored Salesforce instance that tracked clients, opportunities, projects, and venues in a way that reflected how Volt manages its work. Milestones were structured to give both sales and operations clear visibility into job progress.

RentalWorks Integration

We built a custom sync between RentalWorks and Salesforce that brought relevant project data—such as prep schedules, fulfillment status, and key job details—into the CRM. This created a shared 360-degree view of each project without requiring operational teams to duplicate effort.

Streamlined Handoffs into Execution

Once a deal is closed, Salesforce automatically triggers project setup tasks: folder creation, ClickUp task generation, and internal team alignment. Everything moves faster, with fewer gaps between departments.
